Procedure Statement
Conestoga College’s Co-Curricular Record (CCR) is a document complementary to a student’s academic transcript which recognizes and records learning that a student has achieved through approved co-curricular programming experiences at Conestoga College. Co-curricular programming experiences are approved based on meeting established inclusion criteria.
Students in full-time and part-time courses who participate in an approved co-curricular experience will have their participation recorded on an official Conestoga College CCR.
This procedure provides institutional standards for the inclusion of student co-curricular opportunities that are eligible for Conestoga’s official CCR. The procedure also identifies processes and organizational structures that govern the administration and execution of the CCR.
Definitions
Conestoga College maintains a glossary of terms specific to the institution. The ones in use for this document are defined below.
- Approved Co-Curricular Experience
- Any programming experience that is not a requirement, component, or ‘expectation’ of the classroom experience or program design and meets the criteria that has been established for inclusion in Conestoga’s CCR.
- Co-Curricular Record
- An official document that profiles a student’s involvement in specifically identified/recognized co-curricular campus activities.
- Co-Curricular Record Administration Team
- Student Engagement and Experience staff responsible for the oversight and operational administration of Conestoga’s Co-Curricular Record (CCR). The team ensures that all CCR opportunities and processes align with established institutional standards, quality expectations, and eligibility criteria.
- Validation
- A process that formally recognizes that a student has completed the participation requirement for inclusion in the CCR.
- Validator
- An individual identified by the institution as having responsibility for confirming student participation/completion of a recognized co-curricular activity. The validator is usually the facilitator or individual providing oversight of an activity and must be an employee of Conestoga College, Conestoga Students Incorporated, or Campus Living.
Responsibilities
Co-Curricular Record Administration Team
Team of Student Engagement and Experience Department Support Staff responsible for:
- Developing, coordinating and executing CCR processes
- Approving, training, and assigning providers
- Maintaining a provider database
- Responding to requests for inclusion of an activity in the CCR and granting approval for those that meet established criteria
- Providing guidance to Conestoga, Conestoga Students Inc., or Campus Living employees, and community partners to adjust established activities to meet the criteria of the CCR
- Training students, staff, and faculty
- Developing and executing promotions related to CCR
- Extracting statistics
- Responding to CCR user inquiries
Procedure
- Submitting an Opportunity for Co-Curricular Recognition
- Employees looking to include an experience on the CCR will be required to submit an inclusion request to the Co-Curricular Record Administration Team via email or through the Unihub Provider Interface.
- The Co-Curricular Record Administration Team will either approve or deny the request via email or through the Unihub automated messaging system.
- To meet validation criteria and be included in the CCR, an activity, event, committee, or workshop must:
- Be designed to support participants' development in one to two NACE Career Readiness Competencies.
- Have attendance validated by an employee of Conestoga College, CSI or Conestoga College Residence.
- Be voluntary and unpaid, with the exception of honorariums.
- Be independent of academic credit and must not be part of a course requirement.
- Co-curricular opportunities cannot, in any instance, be leveraged to serve personal interest or fulfill duties that warrant paid compensation.
- In instances where guidance surrounding approvals/denials is required, management overseeing the co-curricular record portfolio will be asked to provide input.
- Including an Experience on the Co-Curricular Record
- Students must complete all requirements of an experience (e.g., minimum number of hours or participation) to receive co-curricular recognition.
- Validators will be responsible for tracking student attendance for each experience being offered.
- Once attendance has been verified, the experience will be automatically added to the student's official CCR.
- Accessing the Co-Curricular Record
- Students can download their CCR from the Student Success Portal by completing the following steps
- Go to the Student Success Portal
- Select 'Student Engagement' from the drop-down tab
- Click "Download My Co-Curricular Record"
