Procedure Statement

Conestoga recognizes the benefits of providing faculty and academic leadership with student feedback on teaching and learning. Each term, during the academic year, the Early Course Check-in (ECC) and Student Course Feedback (SCF) surveys are administered in designated courses. 

Definitions

Conestoga College maintains a glossary of terms specific to the institution. The ones in use for this document are defined below.

Early Course Check-in (ECC)
​The ECC is a short online survey that collects student feedback early in the term. It provides newer faculty with timely insights into how their course is going, allowing for adjustments during the same term.
Student Course Feedback (SCF)
The Student Course Feedback (SCF) is an online feedback process used for obtaining summative feedback from students near the end of a course to enhance the performance of teaching and learning at Conestoga.

Responsibilities

Institutional Research and Planning (IRP)

  • Oversee maintenance and upgrades to the enterprise course evaluation software tool.
  • Each term, develop the ECC and SCF projects on the enterprise survey software tool to administer the appropriate surveys to the relevant students, in the designated courses.
  • Oversee secure storage and appropriate dissemination of ECC and SCF data and reporting.

Academic Chairs

  • Encourage faculty to promote ECC and SCF participation to their students.
  • Review ECC summary reports each term to identify and follow up with faculty whose composite scores fall below the established threshold and could benefit from extra support (e.g., Teaching and Learning assistance).
  • Review SCF summary reports each term to identify and follow up with faculty in accordance with performance management directions from HR.

Faculty

  • Communicate with students about upcoming ECC and SCFs, encouraging their participation.
  • Review and reflect on the ECC/SCF results to enhance their teaching and learning practices.
  • Communicate with their Academic Chair to identify any special circumstances that could impact the results within a particular class.

Procedure

  1. Institutional Research and Planning:
    1. Develops a communication plan and timelines for the academic year/terms to ensure timely administration and communication with the multiple stakeholders.
    2. Develops the ECC and SCF survey project and questionnaires each term on the enterprise survey software tool.
    3. Confirms with the Online Learning Centre that course feedback surveys are activated on the survey widget of the selected eConestoga courses.
    4. Ensures the ECC is administered to selected faculty early in the term i.e., the survey administration period is between 25% and 35% of the course duration. The ECC results are prepared and disseminated to multiple stakeholders in the time periods indicated below:
      1. ECC individual faculty reports (week after ECC project close)
      2. ECC summary reports for Academic Chairs (within two weeks of ECC project close)
      3. ECC summary report for Teaching and Learning (within two weeks of ECC project close)
      4. ECC summary reports for Deans (combined with the SAT summary and delivered at the end of the term)
    5. Works to ensure the SCF is administered in the main component of all course sections once a minimum of two-thirds of the semester has been delivered, i.e., the survey window is between 67% and 90% of the course duration. Courses must be at least four weeks in duration to be eligible for inclusion.
    6. Prepare and disseminate SCF results to multiple stakeholders in the time frames indicated below:
      1. SCF individual faculty reports (intercession)
      2. SCF summary reports for Academic Chairs (intercession)
      3. SCF summary reports for Deans (intercession)
      4. SCF course results are summarized and shared with Schools and the Online Learning Centre.
  2. Academic Chair and faculty refer to provided resources to promote student participation and reflect upon results as per performance management directions.
