Payment and key dates

Deposit
A $1,500 mandatory, non-refundable tuition deposit is required in order to secure a place in the program.
Should you defer to another available intake, any fees paid will transfer to the new intake, however, deposit payment remains non-refundable if you do not supply proof of a visa refusal. *See refund policy & withdrawals below.
For students who register and attend classes, the tuition deposit is part of the student’s tuition fees and reduces the tuition owed.
Should a student’s visa be refused and
Student Fees is provided with a copy of the visa rejection letter, tuition will be refunded, less the $200.00 college administrative fee.
Fees
Your deposit is applied to your tuition, however, you are still required to pay the balance of tuition owing by the due dates specified in your Letter of Acceptance.

Payment options
Make an international payment to the college
Conestoga College has partnered with two leading international payment processors: Flywire and Convera. These services allow you to make a payment to Conestoga through a wire transfer or credit card payment directly from your home country. Payments can be made quickly and in your home currency and are typically applied to your student account within five business days of being received by the college.
In addition, we continue to accept online payments through web banking. We also accept international money orders, bank drafts or certified cheques.

Flywire
Conestoga College has partnered with Flywire to provide our international students with a secure payment method that simplifies the payment process. With Flywire, you can pay online from banks and countries around the world, usually in your home currency.

- Offers payment methods like bank transfer, credit cards and e-payments (Alipay/PayPal) making the process familiar and easy for you.

Convera
Convera allows you to pay the Canadian dollar tuition fees in the currency of your choice.
Please note: This is not a payment through Convera agent locations (except in the case of some payments from India). You will simply be paying a Convera bank account and then Convera transfers the funds to Conestoga College in Canadian dollars.
How to make a payment- Visit the Convera payment page.
- Provide student/payer information
- Complete the required fields (Conestoga College student ID number, student's first and last name, email address, etc.) and select Next.
- Enter the amount you wish to pay in Canadian dollars and select Next.
- Select the currency that you would like to pay in from the drop down list. You will notice on the right-hand side that you now see the amount you will be paying in the currency selected. Select Next.
- Select the checkbox if you would like to receive the payment instructions via email.
- Complete other fields as listed if the payer is not the student then select Next.
- Review the conditions and select the checkbox, then select Submit.
NOTE: You may need to temporarily allow pop-ups on your computer in order to view the payment instructions. - Print your payment instructions and make the payment. For most countries this will be by wire at your bank.
- Instruct your bank to wire transfer funds to the Convera bank account indicated on your payment instructions.
- The reference number on the payment instructions is very important. It must be included on your payment in order for the funds to be correctly and promptly applied to your student fee account. A reference number should not be used more than once. If you are making a second payment, or have a quote that has expired, please go through steps 1-3 again to get new payments instructions with a new reference number.
- The payment must be sent within 72 hours of the quote or Convera will use the current exchange rate to convert the currency. The expiry of the quote is indicated on the bottom of the payment instructions that you have printed.
- While the transfer is in progress, your account will continue to show the outstanding amount.
- Conestoga College will post the Canadian dollar equivalent to your student account, generally two to five days after your local bank initiates payment.
* If your local currency is not an option available in the system, you will need to choose another currency on the list to arrange your payment, or contact Convera for more information. The subject line should read ‘Convera payment issue'. Please indicate what currency you are trying to pay in, or where you are trying to pay from, and what the precise issue is.
** When paying from China or India, you will be given your rate when you process your transfer per the payment instructions.
*** For payments from India, China and South Korea, you will be instructed to pay on a particular website or bank (e.g. ICICI for India)

Web banking
You may pay your tuition online via Web banking through most Canadian banks. You will be required to set-up Conestoga College as a vendor for payment purposes in order to do so. Your student ID number will be used as your account number to associate your payment to your student account.
You may also visit your local bank branch to initiate your payment.
Canadian money order, bank draft or certified cheque
Remit a Canadian money order, bank draft or certified cheque. Please remember to include your student number on all payments sent to the college.

Refund policy & withdrawals
Please note: Should you wish to withdraw and request a refund, you must sign in to the Student Portal.
- Select the "Services" tab, click on the "My Forms" button, then log in with your Conestoga email address, and select "Withdrawal Form".
- Once your Withdrawal Form is complete, select "Request for Refund".
Refunds can take up to eight (8) weeks to be received.

COVID-19 refund policy: For Level 1 students beginning their studies outside of Canada with confirmation of IRCC student visa application submission
The following refund policy applies to International students (level 1) who are studying online from outside of Canada and who have applied for their student visa before the start of their program.
Please note: Visa refusal letters may be verified through IRCC prior to refund processing.
Spring 2023 Visa in Process (VIP) refund policy
If you begin your studies online from outside of Canada for the Spring 2023 intake and the final decision from IRCC
results in the refusal of your study permit, the following college refund policy will apply:
- A full refund (less the $200 administrative fee) will be provided to Level 1 students who began their studies online from outside of Canada with an active VIP.
- Students are encouraged to submit their withdrawal form immediately after receipt of a Visa Refusal.
- If you complete the Level 1 term studies and a decision on the status of your study permit application has not been received, you are required to defer the start of Level 2 until a decision is rendered. If you choose to start Level 2, then a refund will not be eligible for Level 1.
- Requests for a refund received after the end of the term must be accompanied by a valid Visa Refusal.
- You may decide to keep your marks for your completed studies OR receive a refund, but you are not eligible for both.
If your application for study permit is not refused but you choose to withdraw from the program for Spring 2023, the standard college refund policy applies (no refund after the 10th day of classes) and a withdrawal form must be completed and submitted.
NOTE: In order to be fully removed from your program, you must withdraw your offer in OCAS AND complete the withdrawal form in the Student Portal, even if you wish to defer to a future intake. Not withdrawing could result in failed grades on your transcript.
Winter 2023 Visa in Process (VIP) refund policy
If you begin your studies online from outside of Canada for the Winter 2023 intake and the final decision from IRCC
results in the refusal of your study permit, the following college refund policy will apply:
- A full refund (less the $200 administrative fee) will be provided to Level 1 students who began their studies online from outside of Canada with an active VIP.
- Students are encouraged to submit their withdrawal form immediately after receipt of a Visa Refusal.
- If you complete the Level 1 term studies and a decision on the status of your study permit application has not been received, you are required to defer the start of Level 2 until a decision is rendered. If you choose to start Level 2, then a refund will not be eligible for Level 1.

Fall 2022 Visa in Process (VIP) refund policy
If you begin your studies online from outside of Canada for the Fall 2022 intake and the final decision from IRCC results in the refusal of your study permit, the following college refund policy will apply:
- A full refund (less the $200 administrative fee) will be provided to Level 1 students who begin their studies online from outside of Canada until
December 31, 2022.
- If you complete the Level 1 term studies and a decision on the status of your study permit application has not been received, you are required to defer the start of Level 2 until a decision is rendered. If you choose to start Level 2 then a refund will not be eligible for Level 1.
- Requests for a refund received
after December 31 must be accompanied by a visa refusal letter dated
after December 31, 2022.
- You may decide to keep your marks for the Fall 2022 term OR get a refund, but, you are not eligible for both.
If your application for study permit is not refused but you choose to withdraw from the program for Fall 2022, the standard college refund policy applies (no refund after the 10th day of classes) and a withdrawal form must be completed and submitted.
NOTE: In order to be fully removed from your program, you must withdraw your offer in OCAS AND complete the withdrawal form in the Student Portal, even if you wish to defer to a future intake. Not withdrawing could result in failed grades on your transcript.
Spring 2022 term
Students with a valid study permit must follow the standard college
withdrawal procedures.
Students who begin their studies online from outside of Canada for the Spring 2022 intake and the final decision from IRCC results in the
refusal of
their student visa application, the following refund policy will apply:
- A full refund (less the $200 administrative fee) will be provided to Level 1 students who begin their studies online from outside of Canada up until August 31, 2022 whose visa has been denied.
- A copy of the visa refusal letter is required and must be submitted at the time of withdrawal.
- A copy of the visa refusal letter is required and must be submitted at the time of withdrawal.
- Students who have not withdrawn from the program on or before August 31, 2022 for the Spring term will not be eligible for a refund. Not withdrawing from the program by the stated date indicates that you are pursuing your studies regardless of the outcome of your study permit (visa) application.
- No refund requests, regardless of the outcome of the visa application, will be granted after August 31, 2022.
I understand:
- if I qualify for a refund and if there are already grades on my record for the term the refund has been received, my grades will be removed and will not be reinstated.
- if my application for study permit is not refused, but I choose to withdraw from the program, the standard college refund policy applies.
Winter 2022 term
Students who begin their studies online from outside of Canada for the Winter 2022 intake and the final decision from IRCC results in the
refusal of their student visa, the following refund policy will apply:
- A full refund (less the $200 administrative fee) will be provided to Level 1 students who begin their studies online from outside of Canada up until April 30, 2022. A visa refusal letter is required and must be submitted at the time of withdrawal. No refund requests will be granted after April 30, 2022.
I understand that if I request and am given a refund, my grades will be removed and will not be reinstated.
If my application for study permit is not refused but I choose to withdraw from the program, the standard college refund policy applies.
Fall 2021 term
Students who begin their studies online from outside of Canada for the Fall 2021 term and the final decision from IRCC results in the
refusal of their student visa, the following refund policy will apply:
- Until December 31, 2021: a full refund, minus the CAN $200 administrative fee and CSI fees (CSI Legal Protection Fee, CSI International Health Fee and CSI Health Plan Fee), will be refunded. A copy of the visa refusal letter must be attached to the request.
- After December 31, 2021: no refund will be granted for the Fall 2021 intake.
Regarding your student record: If a student withdraws and receives a refund for the Fall 2021 term based on a visa refusal, all grades will be removed for that term and no verification of enrolment or participation will be available.
If your application for a visa is
not refused but you choose to withdraw from the program, the standard International Refund Policy outlined below applies and withdrawal must be made within 10 business days of the beginning of the term for which you have paid fees.
International refund policy
Withdrawal within 10 business days of the beginning of a term or the beginning of the period for which the student paid fees in the case of a non-term or continuous intake program of instruction, the student shall receive:
- a refund of the full tuition and ancillary fees for the term or program less the non-refundable deposit if withdrawal is made after the deposit due date *or if withdrawal is made after a deferral admission had been given.
- a refund in full of any tuition and ancillary fees paid in advance for subsequent terms.
- a refund in full of any fees paid in advance for subsequent terms. This also applies to students who do not register on a term basis.
